Dissmissal Policy
Vancity Education Group may dismiss a student from a program on any of the following grounds:
Students who do not meet the expected code of conduct will be subject to the procedures outlined below which may include immediate dismissal from the institution depending on the severity of the misconduct.
b. Any of the following, if substantiated, will result in immediate dismissal without a warning letter or probationary period:
 Sexual assault.
 Physical assault or other violent acts committed on or off campus against any student.
Verbal abuse or threats.
Vandalism of school property.
 Theft.
The process by which a student may be dismissed from a program is as follows:
All concerns relating to student misconduct shall be directed to the Principal Concerns may be brought by staff, students or the public.
The Principal will arrange to meet with the student to discuss the concern(s) within 5 school days of receiving the complaint. If the alleged conduct is of such a serious nature that an immediate dismissal may be warranted the Principal will meet with the student as soon as practicable.
Following the meeting with the student, the Principal will conduct whatever further inquiry or investigation is necessary to determine whether the concerns are substantiated.
Any necessary inquiries or investigations shall be completed within 5 school days of the initial meeting with the student.
The Principal will meet with the student and do one of the following:
Determine that the concern(s) were not substantiated;
Determine that the concern(s) were substantiated, in whole or in part, and either:
Give the student a warning setting out the consequences of further misconduct;
Set a probationary period with appropriate conditions; or
Recommend that the student be dismissed from the Institution.
The Principal will prepare a written summary of the determination. A copy shall be given to the student, a copy will be placed in the school’s Student Conduct File, and the original will be placed in the student file.
If the student is issued a warning or placed on probation, the Principal and the student both sign the written warning or probationary conditions and the strident is given a copy. The original document is placed in the student’s file.
If the recommendation is to dismiss the student, the Principal of the school will meet with the student to dismiss him/her from study at the school. The Principal of the school will deliver to the student a letter of dismissal and a calculation of refund due or tuition owing, depending on the status of the student’s financial account with the school.
If a refund is due to the student, Vancity Education Group will ensure that a cheque is forwarded to the student within 60 days of the dismissal.
If the student owes tuition or other fees to the school, the Vancity Education Group will undertake the collection of the amount owing.
Dispute Resolution Policy
This policy governs complaints from students respecting Vancity Education Group and any aspect of its operations.
A student who makes or is otherwise involved in a complaint will not be subject to any form of retaliation by the institution at any time.
The process by which the student complaint will be handled is as follows:
Student complaints must be made in writing.
The student must provide a written complaint to the Prinicpal of Vancity Education Group Richard Ng (Telephone 778-321-0978 or Email [email protected]), in person or by email. The Prinicpal of Vancity Education Group is responsible for making determinations in respect of complaints.
Details of procedure are as follows:
A. Procedure for Student Disputes on Non-academic Matter
1) When a concern arises, the student should address the concern with the staff member or the instructor most directly involved. If the student is not satisfied with the outcome at this level, the student should put his/her concern in writing and deliver it to the Prinicpal of Vancity Education Group.
2) The Principal of Vancity Education Group will arrange to meet with the student to discuss the concern and desired resolution within 5 school days of receiving the student’s written concern, or as soon as practicable.
3) Following the meeting with the student, the Prinicpal of Vancity Education Group will conduct whatever esquire and/or investigations are necessary and appropriate to determine whether the student’s concerns are substantiated in whole or in part. Those inquiries may involve further discussion(s) with the student either individually or with appropriate Dispute Resolution Policy
4) The necessary enquiries and / or investigations shall be completed no later than l0 school days following the receipt of the student’s written concerns. The Prinicpal of Vancity Education Group will do one of the following within l0 days of receiving the student’s written concerns:
a. Determine that the student's concerns are not substantiated; or
b. Determine that the student’s concerns are substantiated in whole or in part;
c. Determine that the student’s concerns are frivolous and vexatious.
The student and the institution’s personnel involved shall receive a written summary of the above determination. A copy of all documentation relating to every student’s complaint should be signed by all parties. A copy shall be given to the student, a copy will be placed in the school’s Student Conduct File, and the original will be placed in the student file.
5) If it has been determined that the student’s concerns are substantiated in whole or in part the Prinicpal of Vancity Education Group shall include a proposed resolution of the substantiated concern(s).
The written reasons will advise a student, that if the student is dissatisfied with the determination, and has been misled by the institution regarding any significant aspect of that program, the student may file a complaint with the Private Training Institutions Branch (PTIB) (www.privatetraininginstitutions.gov.bc.ca). Complaints must be filed with PTIB within one year of the date a student completes, is dismissed from, or withdraws from the program.]
The student making the complaint may be represented by an agent or a lawyer.
Grade Appeal
The process by which a student may appeal a grade received in a course at Vancity Education Group is as follows:
If a student is dissatisfied with a grade received and/or can provide evidence that a higher grade is warranted, he/she should discuss with his/her instructor within 14 days of the declaration of result. The instructor will reconsider the grade and, if warranted, assign a different grade.
All request for grade appeal must be in writing.
If the student is not satisfied with the outcome of his/her appeal to the instructor, he/she should submit a written appeal to the Principal using Grades Appeal form within next 7 days after receiving reply from the instructor.
The Principal will obtain a copy of the assignment/test in question from the instructor and will have other instructor/instructors re-assess the test.
If the student achieves a higher grade on re-assessment, the higher grade will be assigned to the student. If the student achieves a lower grade on re-assessment, the original grade will be retained.
The grade will be considered final and cannot be appealed.
The decisions on the grade appeal will be provided to students within thirty (30) school days of Vancity Education Group’s receipt of the written appeal.
If a student fails exam, they may allow to do a rewrite subject to Instructor/Principal approval. The rewrite must occur within 14 days of having failed an exam. Student will be required to pay an administrative fee of $100. If the student achieves a higher grade on rewrite, the higher grade will be assigned to the student. If the student achieves a lower grade on rewrite, the original grade will be retained on record and transcript.
Respectful and Fair Treatment of Students
Vancity Education Group is committed to ensuring that its learning environment promotes the respectful and fair treatment of all students.
While on Vancity Education Group premises or in the course of activities or events hosted by Vancity Education Group following activities are prohibited:
Harassment
Harassment – any form of behavior, be it physical, verbal, written, or otherwise, that is not wanted or welcomed, and may offend, or humiliate, an individual.
Bullying
Bullying – a deliberate misusage of power in relationships through repeated verbal, physical and/or social behavior with an intent to cause physical, social and/or psychological harm to the victim.
Discrimination
Discrimination - the practice of unfairly treating an individual or a group differently from the others who are subject to the same conditions.
If under any circumstances, a prohibited activity occurs, the following outlines the process for addressing the activity:

Vancity Education Group. will do its best to resolve any issue, but if required complaint can be filed to concerned law enforcement agency nearby.
Attendance Policy
The minimum attendance requirements for students are as follows:
Students are required to avoid unnecessary absences or to take the course when there is no foreseeable absences
Students are required to schedule all vacation outside of class time and learning components.
Students are required to provide prior notification to their instructor and/or the Principal in the event of any foreseen absences.
Students are required to make arrangements to acquire lecture notes and assignment instructions missed due to absence.
The consequences for students who do not meet the minimum attendance requirements listed above are as follows:
Students who are absent from any classes, tests/quizzes/assignments are responsible for completing their learning materials on their own time.
Failure to meet the requirements will result in a student failing a course,
receiving a lower grade or being required to withdraw from the course.
Instructor/Principal is under no obligation to repeat allow make-up tests/quizzes/assignments for unexcused absences.
The process by which students must report an absence is as follows:
Student should notify Vancity Education Group via email or phone regarding his/her absence in advance.
For the reason of medical emergency, a valid doctor’s note is required of a student for each day of absence from regular classes, and schedule with instructor indicating how the missed hours or tests/quizzes/assignments will be made-up.
If the reason for absence is other than a medical emergency, then student should inform the college as well as the instructor regarding the absence and prepare a schedule indicating how the missed hours or tests/quizzes/assignments will be mad-up.
Sexual Misconduct Policy
Vancity Education Group is committed to the prevention of and appropriate response to sexual misconduct.
Sexual misconduct refers to a spectrum of non-consensual sexual contact and behaviour including the following:
sexual assault;
sexual exploitation;
sexual harassment;
stalking;
indecent exposure;
voyeurism;
the distribution of a sexually explicit photograph or video of a person to one or more persons other than the person in the photograph or video without the consent of the person in the photograph or video and with the intent to distress the person in the photograph or video;
the attempt to commit an act of sexual misconduct; and
the threat to commit an act of sexual misconduct.
A Complaint of sexual misconduct is different than a Report of sexual misconduct. A person may choose to disclose or complain of sexual misconduct without making a formal report. A Report is a formal notification of an incident of sexual misconduct to someone at the institution accompanied by a request for action.
A student making a Complaint will be provided with resolution options and, if appropriate, accommodation, and will not be required or pressured to make a Report.
The process for making a Complaint about sexual misconduct involving a student is as follows:

The process for responding to a Complaint of sexual misconduct involving a student is as follows:
Vancity Education Group will acknowledge receipt of the Complaint within 24 hours. The Principal of  Vancity Education Group will call/meet the student with following steps:
Listening without judgement and accepting the disclosure;
Communicating that sexual Misconduct is not the fault of the victim/survivor;
Helping the individual identify and/or access available on- or off-campus services, including emergency medical care and counselling;
Respecting the individual’s right to choose the support services the individual feels are most appropriate and to decide whether to file a
Report to a college Official or another authority; and
Respecting the individual’s choices as to what and how much they disclose about their experience.
The process for making a Report of sexual misconduct involving a student is as follows:
A report can be made to the Principal of Vancity Education Group, Richard Ng (Telephone 778-321-0978).
The report must be in writing and including a written statement describing the complaint.
The process for responding to a Report of sexual misconduct involving a student is as follows:
The principal of Vancity Education Group or the alternate, responsible for responding to the report, will:
notify the person providing the report that a response to the report is in progress
meet with the student, or the person making the report to offer support and to determine what actions, enquiries or investigations may be necessary.
If accommodations are required for the safety and security of the student, these will be implemented as much as possible. These may include:
Transfer of a student to a different class
Rescheduling, deferral of assignments or tests
If the alleged perpetrator or the victim/survivor is an employee, administrative leave or work from home or other interim measures may be taken during an investigation.
Except in circumstances where there is a serious safety risk to others, and/or the school has a legal obligation to act, the victim/survivor will be the one to determine what, if any, police reporting actions to pursue.
Any investigations will be conducted with sensitivity and discretion. The college is not mandated to make criminal investigations; however, it does have the responsibility to ensure a safe environment, regardless of whether a criminal investigation is undertaken.
The person making the report may withdraw the report, but Vancity Institute of Science and Arts Inc. may continue to act on the matter if it is deemed necessary to protect students.
Depending upon the nature of the report, if it is determined that a third party or outside agent should conduct an investigation, this will be arranged as quickly as possible.
A written Response to the Report will be provided to the student within 30 days of receipt of the written complaint.
Vancity Education Group will implement any actions or corrective measures recommended in the Response to the Report.
9. It is contrary to this policy for an institution to retaliate, engage in reprisals or threaten to retaliate in relation to a Complaint or a Report.
10. Any processes undertaken pursuant to this policy will be based on the principles of administrative fairness. All parties involved will be treated with dignity and respect.
11. All information related to a Complaint or Report is confidential and will not be shared without the written consent of the parties, subject to the following exceptions:
If an individual is at imminent risk of severe or life-threatening self-harm.
If an individual is at imminent risk of harming another.
There are reasonable grounds to believe that others in the institutional community may be at significant risk of harm based on the information provided.
Where reporting is required by law.
Where it is necessary to ensure procedural fairness in an investigation or other response to a Complaint or Report.
